Minutes from Friday’s Fellwalkers Extra AGM Friday 4th Nov
Apologies for absence were received from Karen & Dubbie, Noreen Bullivant, Maureen Jones and Cath Forbes. Item 1 Opening remarks. The Chairman opened the meeting and explained that the reason for the meeting was to establish the club officials for next year as the Chairman, treasurer and secretary had all said that they would stand down at the end of this year and at the moment we had only one offer to take over as secretary. The role of treasurer is essential to the organisation of the coaches and without one they could not go ahead.
Item 2 Officials for next year. There were no offers or suggestions from the members present to take over. Therefore we would discuss the second item which was to discuss how the club could be reorganised in order to continue.
Item 3 Future of the club.
Gael asked about how much was left in the club – the current funds are£1187. Derek asked if 6 coaches were viable. The accounts show that overall last year we made a very small profit on running the coaches although some did run at a loss. Norman A pointed out that in the past the club had been run by just one person who encompassed all the roles. Gael pointed out that walks should be organised to offer a variety of distances to suite all members. Both Tony and Pauline Curry described how their local group organised the walks. Joy – her group pays £1 each year. Malcolm – the friends group organise a walk every week via the internet and use car sharing. A planning meeting was essential. Norman A – Insurance do we need this? Previously organised through the Ramblers. Eric – we have copie of most of the old walks for reference.
The chairman suggested a tea break to discus the ideas. The meting reopened and Ron asked if anyone was willing to take over as Treasurer – no volunteers. What do we do then?
After further discussion it was proposed by Malcolm and unanimously agreed that we trial the following system for a year.
Proposed System. There will be 12/13 local walks each year based on car sharing. There will be a planning meeting in November for walk leaders to attend and plan the following year’s walk. Any gaps will be filled in at the AGM in February. No insurance will be needed – members walk at their own risk. A list of walks will be issued at the beginning of the year showing the walk starting point, the distance, a contact number, and a one line description. All walks will be within 1hr driving of Middlesbrough. Bill has a list of 45 car parks within this area as parking may be a problem Information will be distributed by email. The money in the club will stay frozen for the next year – this will give an opportunity for someone to take over as treasurer and preserve the funds for the future .
